Entry Condition Report Template

Purpose. The template property managers use to record the condition of a rental property at the start of a tenancy, which becomes the benchmark for the exit inspection and any bond claim.
1.About this template
The entry condition report must be completed before the tenant moves in and given to the tenant with the tenancy agreement. The tenant has the period the legislation sets to return it with their own comments. A poor entry report is the most common reason a bond claim fails.
2.How to inspect
Inspect every room and every external area in the same order each time. For each item record whether it is clean, undamaged and working, and describe any defect precisely, for example a two centimetre chip in the kitchen benchtop beside the sink. Take photographs of every wall, floor, ceiling, fixture and appliance and of every defect, and time-stamp them.

- Test smoke alarms, taps, lights, appliances and locks
- Record meter readings and the number of keys and remotes
3.Safety items
Record the smoke alarm type, location and test result, the safety switch test, window and balcony safety devices, pool fencing and gate self-closing where applicable, and any hazard the landlord must fix before or during the tenancy.
4.Keys and inclusions
List every key, remote, swipe card and code issued and record them in the Key and Access Register. List inclusions such as appliances, blinds, air conditioners and garden equipment with their condition.
5.Sign-off and records
The property manager signs and dates the report and gives two copies to the tenant. The returned copy with the tenant's comments must be filed with the tenancy and kept for at least seven years after the tenancy ends.
